Job Role: Student Success & Engagement Coordinator

Compensation range: $1,500 AUD - $2,000 AUD / Monthly

Engagement type:Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Role Overview: We are seeking a Student Success & Engagement Coordinator who will play a central role in supporting and guiding students throughout their entire learning journey, from initial enquiry through to successful course completion.

The successful candidate will be responsible for managing complex student coordination, communication, engagement, operational systems, and support processes while delivering an exceptional student experience from enquiry through to completion.

The role requires a highly organised, proactive, and digitally confident professional who can confidently navigate multiple systems including the Learning Management System (LMS), Student Management System (SMS), CRM platforms, scheduling systems, and communication tools.

The successful candidate must be capable of balancing structured operational processes with sound judgement, initiative, and relationship management skills in a fast-paced RTO environment.

The successful candidate will proactively support students to remain engaged, attend classes and workshops, overcome barriers to progression, complete practical placement requirements, and successfully achieve their training outcomes.

This role is heavily communication-driven and requires exceptional written English skills, strong emotional intelligence, excellent organisational capability, and confidence working across multiple digital systems simultaneously.

Key Responsibilities:

Student Success, Engagement & Retention

  • Take ownership of the student experience from enquiry through to course completion
  • Build strong professional relationships with students throughout their learning journey
  • Proactively support students to maximise engagement, attendance, progression, retention, and completion outcomes
  • Monitor student participation and follow up students who may be disengaged, absent, or at risk of withdrawal
  • Support students through barriers, challenges, and progression issues
  • Deliver exceptional student experiences that encourage strong satisfaction and completion outcomes
  • Exercise sound judgement, initiative, and problem-solving skills when supporting students through complex or sensitive situations
  • Escalate welfare, compliance, or training concerns appropriately when required

Student Support & Communication

  • Manage high volumes of student communication across email, SMS, CRM conversations, and phone
  • Respond to student enquiries promptly
  • Maintain high communication standards across all student touchpoints
  • Comfortable communicating with students primarily through written communication, while also being confident making phone calls where required

Sales / Enrolment Support

  • Respond to inbound enquiries and conversations through GoHighLevel (GHL)
  • Build rapport with prospective students and maintain strong communication throughout the enquiry process
  • Guide conversations toward booking appointments with the internal enrolment team
  • Follow up leads and nurture prospective students through the enrolment journey
  • Support conversion, onboarding, and engagement activities
  • Maintain accurate CRM records and workflow updates

Practical Placement Coordination

  • Coordinate practical placement scheduling, workshops, and related student activities
  • Liaise with students, trainers, facilities, employers, and stakeholders regarding placement coordination
  • Support students through placement preparation and readiness processes
  • Monitor placement progress, attendance, and documentation requirements
  • Follow up outstanding placement requirements proactively
  • Help ensure students remain engaged and supported throughout placement activities

LMS, Digital Learning & Help Desk Support

  • Build and maintain course content and resources within the Learning Management System (LMS)
  • Upload, organise, and maintain digital learning materials accurately
  • Provide first-level LMS and digital support to students and trainers
  • Assist students with:login issues, password resets, assessment submissions, uploads, navigation issues, online learning access, troubleshooting basic IT and LMS issues
  • Escalate more complex technical issues where required
  • Help maintain a smooth and positive online learning experience for students

Operational Coordination & Scheduling

  • Assist with rescheduling classes, workshops, placements, appointments, and support sessions where required
  • Coordinate scheduling updates efficiently while maintaining strong communication with students and stakeholders
  • Support smooth student progression through proactive coordination and follow-up
  • Manage multiple competing priorities and workflows effectively
  • Maintain high attention to detail across all operational tasks and systems

Requirements

  • Exceptional written and verbal English communication skills
  • Strong emotional intelligence and relationship-building capability
  • Excellent organisational and time management skills
  • Ability to manage high-volume communication professionally and efficiently
  • Strong digital literacy and confidence using multiple systems simultaneously
  • Experience using: LMS platforms, Student Management Systems (SMS), CRM systems and communication and scheduling platforms
  • Ability to troubleshoot basic LMS and digital support issues independently
  • Ability to follow structured processes while also exercising sound judgement and initiative
  • Strong problem-solving and decision-making capability
  • Ability to work independently within a fast-paced operational environment
  • Strong attention to detail and workflow management capability

Nice to Have:

  • Experience working within an Australian Registered Training Organisation (RTO)
  • Experience supporting online learners or student cohorts remotely
  • Experience with GoHighLevel (GHL), LMS platforms, or student management systems
  • Experience in student support, retention, enrolments, placement coordination, or education operations
  • Understanding of vocational education and compliance environments
  • Experience balancing support, operational coordination, and customer engagement responsibilities
