Job Overview
We are looking for a detail-oriented and highly organized Travel Coordinatorto support a lead travel designer in delivering exceptional, end-to-end luxury travel experiences.
This is not a high-volume, queue-based travel agency role. Instead, you will work closely with the founder/lead agent in a collaborative, hands-on environment focused on building customized FIT (Fully Independent Traveler) luxury itineraries.
The ideal candidate brings a strong travel agency background, an “EA-level” mindset, and the ability to think critically while executing with precision.
Key Responsibilities:
  • Manage daily communications across email, chat, meetings, and travel platforms including Sabre, Travefy, Axus, booking systems, and supplier websites.
  • Support lead agents in creating customized luxury FIT travel itineraries including flights, hotels, cruises, transfers, and related services.
  • Research destinations, pricing, availability, and travel options to prepare tailored client proposals.
  • Participate in daily check-ins to review priorities, progress, and resolve issues.
  • Present travel options to clients, manage revisions, and secure confirmations.
  • Finalize bookings with suppliers using multiple travel platforms while ensuring accuracy.
  • Verify client documents, process payments and deposits, and manage booking updates or changes.
  • Prepare invoices, confirmations, itineraries, and travel documentation for clients and partners.
  • Coordinate next steps with clients and suppliers before and after booking.
  • Provide ongoing support for itinerary changes, cancellations, and travel-related concerns.
Requirements:
  • 1–2 years of experience in a travel agency or similar role
  • Experience with travel industry tools (e.g., Sabre, Tern, Travefy, or similar systems)
  • Strong attention to detail and ability to manage complex travel arrangements
  • Highly organized with the ability to manage multiple tasks and deadlines
  • Comfortable working with minimal instructions and taking initiative
  • Tech-savvy and capable of navigating multiple systems and platforms efficiently
  • Strong communication skills (written and verbal)
  • Coachable, curious, and eager to grow within the travel industry
  • High level of focus, accountability, and follow-through
Nice-to-Have
  • Experience supporting a lead travel agent or working in luxury FIT travel
  • Exposure to high-end travel planning, suppliers, and destination management
Role Details & Progression:
  • 2-week paid work trial to assess fit and performance
  • 3-month probationary period with structured ramp-up
  • Expected to be fully operational by the end of the probation period
  • Compensation review after 6 months, with annual reviews thereafter
  • Performance-based bonuses may be offered
