Are you an organized, detail-driven professional with a passion for the promotional products industry? We’re looking for a Home-Based Program Merchandising Coordinator to join our U.S.-based client’s growing team. In this role, you’ll handle order processing, vendor communication, data accuracy, and production coordination to ensure smooth operations from start to finish. You’ll also collaborate with internal teams, suppliers, and clients — helping deliver exceptional results and seamless order fulfillment.

WHAT YOU WILL DO
Order processing and communication
Accurately enters orders received by 5:00 pm PST
Maintains order status updates in the company's internal software
Communicates changes in order status and production schedules with manufacturing suppliers, sales representatives, and clients
Reviews order documentation for accuracy
Ensures production proof approvals are received and reviewed and documents proof and production status in internal systems
Regularly communicates with third parties to ensure on-time delivery
Maintains accurate ship dates in systems
Maintains communication with domestic and international courier and freight carriers
Compares freight options to ensure on-time delivery and maximum order profitability
Communicates tracking details on time.
Resolves issues and communicates changes to key stakeholders, as needed
Maintains the order entry desk according to process flow requirements
Demonstrates a positive and professional demeanor with key stakeholders at all times (written and verbal)
Database maintenance
Partners with sales and maintains current client information in systems
Maintains notes in the order log along with resolution and associated costs
Financial record keeping
Partners with accounting to support accurate and timely record keeping
Matches invoices to orders and identifies the correct cost centers
Supports accounts receivable reconciliation
Ensures proper billing of freight and special charges; sample invoice allocations and returns; aging reports and collections
Additional office tasks (when needed)
Tags and files incoming product samples and catalogs, as needed
Assists by answering incoming calls, as needed
Assists with direct mail and marketing efforts, as needed
WHAT WE LOOK FOR
Education: Bachelor's degree in Communications, Business Development, or Marketing required.
Experience: 1-3 years of Customer Service or E-Commerce experience. (Promotional Industry experience preferred.)
Language Proficiency: Strong verbal, written, and English communication skills.
Working schedule: Ability to work overnight/graveyard shifts in Philippine time or within US operating hours.
Technical Skills:
Experience using promotional industry-specific software (such as Sage, ESP, CommonSku, or Syncore).
Basic exposure to Adobe Illustrator, Photoshop, and Canva.
Proficient in Microsoft Office Suite and Google Workspace
Ability to take a “hands-on” approach to problem-solving
Ability to manage multiple tasks, meet deadlines, and respond to requests on a timely basis
Excellent attention to detail and accuracy
Very self-driven
Has an understanding of e-commerce and the promotional industry
WHAT WE OFFER
Salary Range: PHP 27,000 – 30,000
