About the Role
We're looking for a sharp, detail-obsessed Virtual Assistant to step into a Project Manager / Traffic Manager role for a growing marketing agency. This isn't a "check your inbox and respond to emails" kind of position — it's a real seat at the table. You'll be the person who keeps everything moving, makes sure nothing falls through the cracks, and turns client requests into clear, actionable tasks. What You'll Be Doing
1. Project Management & Workflow Ownership (Asana & Drive)
Own Asana: Track overall project progress, keep timelines exceptionally tight, and anticipate delivery bottlenecks before they become problems.
Task Architecture: Convert incoming client requests into clearly defined, structured tasks and assign them to the correct team members.
File Structure: Create and maintain organized Google Drive folders for new client projects, including standard subfolders for seamless task and project management.
Team Accountability: Actively follow up with team members on their project statuses to guarantee deadlines are met.
2. Meeting Operations & Agendas
Weekly Staff Agenda: Create and distribute a weekly staff agenda outlining upcoming projects and the week’s current status.
Note: The team meets every Tuesday at 12:00 PM EST. Your completed agenda is due every Monday by 10:30 AM EST.Meeting Documentation: Live-take precise notes during client meetings. When you aren't present, you will review and synthesize AI-generated meeting notes to extract action items.
3. Systems, Proposals & Reporting
CRM & Tool Support: Assist with the backend setup and management of our CRM (Pipedrive) and help craft client proposals using Proposalify.
Client Reporting: Build out standard client reports, with a direct path toward pulling native social media data as you grow into the role.
What We're Looking For (Non-Negotiables)
Agency Veteran: Minimum 3 years of marketing agency experience. You deeply understand how agencies operate, how teams collaborate, and you respect the pace.
C1/C2 English Proficiency: Exceptional business-level verbal and written English. You can write confidently, professionally, and clearly.
Genuinely Type-A: You are inherently detail-obsessed. You notice the tiny errors others miss, you take absolute ownership of your tasks, and you follow through without being reminded.
Proofreading & Copy Eye: You have a creative eye for copy and text layouts. You can spot when something sounds slightly "off" or looks unpolished and you naturally want to make it better.
Geographic Hub: Currently living in or near Cebu, Manila, or Davao to ensure access to premium internet infrastructure.
Schedule Commitment: Fully available to work US daytime hours (Michigan time). Real-time overlap and immediate responsiveness matter heavily to our workflow.
