About the Role
We’re seeking a tech-savvy Executive & Marketing Assistant with a strong background in digital marketing, web management, and automation systems. This role supports a creative agency that builds and optimizes digital platforms for clients — from websites and course systems to email funnels and brand experiences.
The ideal candidate is highly organized, confident with marketing tech, and comfortable handling both operational and creative tasks. You’ll help manage client projects, improve workflow systems, and execute marketing initiatives with precision and creativity.
Key Responsibilities
Administrative & Technical Support
- Set up and maintain platforms such as:
- WordPress (Elementor & Divi), Wix, and Shopify for websites and e-commerce.
- LearnDash for online courses.
- MailerLite and FloDesk for email marketing systems.
- Zapier for automations and integrations.
- Notion for project management (eventually exploring Airtable).
- Conduct full website testing — including mobile responsiveness, link verification, UX flow, page speed, and email functionality.
- Create and document Standard Operating Procedures (SOPs) for internal and client processes.
- Manage and organize email inboxes using Google Workspace (labeling, unsubscribing, and prioritizing messages).
- Maintain and organize client files in Google Drive, including contracts, invoices, and training materials.
- Troubleshoot and resolve technical issues across tools and platforms.
- Consolidate client resources into a single organized drive for easy access.
Sales & Marketing Support
- Schedule and manage client calls and meetings.
- Transfer Figma designs into live website platforms.
- Draft, create, and send proposals, contracts, and follow-up emails.
- Execute advanced SEO strategies using SEO Pro and Ubersuggest
- Build and maintain websites and e-commerce stores using WordPress, Wix, and Shopify.
- Execute email marketing campaigns for both internal and client projects.
- Assist with Google Ads setup, optimization, and performance monitoring.
- Manage social media content creation, posting, engagement, and analytics reporting.
Client Management & Design Support
- Set up and track client projects in Notion.
- Assist with creating brand guidelines for client delivery.
- Handle client offboarding — sending links, final files, and communication.
- Support logo design and visual branding, as needed.
- Help set up Moxie automations for client onboarding and offboarding.
Non-Negotiables
- Must attend client-facing calls.
- Must manage scheduling and coordination of meetings and project timelines.
