Client Overview
Our client is a U.S.-based premium fabrication business that serves high-end clients in the marine industry. They specialize in custom covers, enclosures, and upholstery for yachts, powerboats, and commercial vessels. The company is looking to expand its remote team by bringing on a resourceful and detail-oriented Remote Operations Coordinator to help manage and streamline lead tracking, customer communication, and operational workflows.
Position Overview
The Remote Operations Coordinator will play a key role in managing project tracking, organizing CRM systems, and overseeing administrative workflows that ensure the smooth operation of our custom canvas fabrication business. This role supports the owner and team by maintaining systems for estimates, invoicing, employee hours, and client communication.
Key Responsibilities
- Track project progress and customer updates in Zoho CRM and Google Sheets.
- Organize and log all emails, calls, and client interactions for follow-up.
- Manage employee hour tracking and reconcile estimated vs. actual job time.
- Maintain the estimation database (materials, pricing, and labor rates).
- Record and flag important Ooma phone calls for review and follow-up.
- Handle QuickBooks invoicing, payments, and project cost tracking.
- Support overall process consistency across sales, production, and accounting.
Requirements
- Strong proficiency in Google Workspace, Zoho CRM, and QuickBooks Online.
- Excellent attention to detail and time management.
- Strong written and verbal communication skills in English and Spanish
- Reliable internet connection and ability to work independently.
Preferred Skills
- Experience in fabrication, manufacturing, or service-based business operations.
- Familiarity with automation tools (Zoho Flow, Zapier, or Google Apps Script).
