We are seeking a highly organized and detail-oriented Bookkeeper and Administrative Assistant to join our team. In this role, you will manage day-to-day financial operations, serve as a primary contact for our clients, and provide essential administrative support to our accounting team. The ideal candidate has strong bookkeeping skills, excellent communication abilities, and a proactive approach to managing tasks.
Requirements
Bookkeeping and financial tasks:
- Manage and maintain accurate financial records, including accounts payable, accounts receivable, and payroll.
- Process and record daily financial transactions, including receipts, invoices, and payments.
- Perform bank and credit card reconciliations monthly to ensure accuracy and resolve discrepancies.
- Collaborate with the accountants to prepare financial reports, including profit and loss statements and balance sheets.
- Assist with month-end and year-end closing procedures.
- Ensure compliance with financial regulations and maintain organized financial documentation for audits.
Client and administrative support:
- Serve as the main point of contact for clients, managing all incoming calls and email inquiries.
- Schedule and confirm client appointments, manage the accountants' calendars, and coordinate meeting logistics.
- Handle billing inquiries and collect outstanding payments from clients in a professional and courteous manner.
- Prepare and send communications, reports, and other documents to clients.
- Maintain accurate and organized client files, both physical and digital.
- Manage general office duties such as ordering supplies and responding to administrative requests.
Qualifications and skills
Required:
- Proven experience in a similar bookkeeping or accounting administrative role.
- Strong proficiency with accounting software (e.g., QuickBooks Online, Xero) and Microsoft Excel.
- Exceptional organizational skills and meticulous attention to detail.
- Strong written and verbal communication skills.
- Excellent customer service and interpersonal skills.
- A high degree of discretion and ability to maintain confidentiality.
- Self-motivated and able to manage multiple tasks and deadlines efficiently.
Preferred:
- Associate or bachelor's degree in Accounting, Finance, or a related field.
- Experience in a client-facing role at an accounting firm.
