A detail-oriented, systems thinker, with a never-ending appetite for learning. You are early in your career and have already shown excellent communication skills and the ability to get things done. You’re particularly interested in growth marketing and product management with a desire to springboard a career into product management. One day you may want to found your own start up, or break into VC, or become a director of marketing or product at a fast growing firm.

Roles & Responsibilities

Project Coordination

As our project coordinator, you’ll work with leadership and project stakeholders to coordinate projects at all stages of the project lifecycle. You have the ability to standardize, plan, and direct project timelines, milestones, and reviews/approvals at each project stage.

*Planning *

  • Works with team members and clients to capture project requirements, SoW, risks, milestones, and dependencies.

  • Creates, and obtains buy in for, project charters, project management plans, and core documents relevant to planning and monitoring projects

  • Outlines project meetings, owners, attendees and outcomes for project lifecycle

  • Effectively communicates key elements of the project management plan to clients

  • Proactively identifies and communicates project risks and dependencies to stakeholders; develops plans for risk mitigation

*Executing *

  • Owns project roadmap + timeline and manage workflow priorities to the team, ensuring they are clearly communicated

  • Schedules and prepares all internal and client facing meetings: kick-offs, internal reviews, etc.

  • Manages the efforts of the strategy, engineering, data, creative, and client teams to ensure timely delivery of project milestones.

  • Manages, maintain, and delivers project status and delivery reports

*Monitoring *

  • Ensures project documents are up to date and all stakeholders are following the processes outlined in the project management plan

  • Tactfully reminds team members and client stakeholders of working agreements, deadlines, processes, etc.

  • Tactfully communicates issues with team members and clients until stakeholders align on a solution.

  • Continuously updates project documentation and probes project stakeholders to identify potential risks, issues, or unforeseen depencies on an ongoing basis.

  • Monitors change requests against project SoWs; incorporates approved changes into project documents.

  • Ensures that all deliverables meet acceptance criteria and are formally approved by the client.

*Closing *

  • Validates that the SoW has been fully executed

  • Ensures that all deliverables meet acceptance criteria and are formally approved by the client.

  • Consolidates project documents, deliverables, and maintenance instructions for delivery to client

  • Record, review, consolidate and communicate project feedback

  • Coordinate the invoicing and payment process with client

Internal Administration

  • In addition to coordinating our client-facing projects, the project coordinator will manage Stacked Co’s internal initiatives and operational needs.

  • Prepares presentations for high-level business meetings

  • Handle highly confidential subjects, including minutes of leadership meetings and performance management information

  • Compiles data, and drafts and prepares presentations for the Founder / CEO

  • Organize and lead recurring meetings to support all technical marketing and creative needs

Experience

  • Minimum 1-3 years of agile project management or project coordination experience.

  • Experience in starting projects from in ideation phase, gathering requirements, and working with customers and stakeholder to set expectations

  • Competent in industry-standard tools, frameworks, and practices for both agile and waterfall methodologies

  • Experience assisting C-level executives with demonstrated organizational skills, attention to detail, professionalism, and proactive problem solving.

  • Comfortable working in a fast-paced environment

  • Strong Customer focus while working in a collaborative environment

  • Strong ability to take initiative, ask questions, prioritize and multitask

  • Ability to create strong working relationships with cross-functional stakeholders

  • Driven by curiosity and ambition to rapidly accelerate your career

Preferred

  • Experience managing complex technical projects spanning 6-12 months in length.

  • Demonstrated ability to systematically approach ambiguous problem spaces

  • Demonstrated ability to operate with a high level of autonomy, leading the project management lifecycle with minimal oversight.

  • PMI-ACP or CAPM certification

  • Experience leading sprint cycles

*What to expect from the screening process: *

Application questions: A set of questions to help identify whether your skills and interests match the position.

Introductory chat: A conversation with a Stacked team member where you can ask questions about the team and the role and we can get to know you beyond your application.

Solve some puzzles: We will provide a set of exercises and problem sets that will reflect the technical and collaborative capabilities you’ll need to be successful at the role.

This will provide us with a sense of how your current strengths and weaknesses line up with the daily activities in the role. It will also give you an opportunity to see how you enjoy solving the puzzles you’ll encounter at Stacked. We respect your time and will pay a 4-hour stipend for this practice workset.

Virtual Onsite – Interview with your potential future team members. These interviews will cover technical, work process, and managerial aspects of the job function. You’ll also have time to ask questions of the team.

References - We will ask to speak to two or three people who can provide insight into how you work, your opportunities for growth, and the best way to set you up for success.
