Role Overview
Our client, a fast-growing performance marketing and media agency, is seeking a Sales Operations Specialist to drive the accuracy, efficiency, and structure behind its sales engine. This role supports the sales team by maintaining CRM data integrity, optimizing workflows, producing performance insights, and coordinating lead follow-ups — enabling the sales closers to focus fully on revenue-generating work.
The ideal candidate is a disciplined, proactive operator with strong analytical and organizational skills. You’ll be responsible for ensuring data accuracy, generating actionable sales reports, and keeping every lead tracked and moving through the pipeline seamlessly. This is a highly collaborative yet self-managed position ideal for someone who thrives in detail-oriented, process-driven environments.

Role Overview
We’re looking for a Legal Intake & Accounting Case Manager who thrives in a fast-paced, evolving operations environment. You’ll own multiple legal and accounting-related client cases from intake to completion—ensuring every detail, document, and communication is handled with accuracy and professionalism.
This is a cross-functional role that bridges legal, accounting, and operational workflows. You’ll interact daily with internal teams and clients, identify process gaps, and proactively drive cases to completion. It’s ideal for someone who enjoys building structure, spotting inefficiencies, and creating scalable systems.

Core Responsibilities
Case Management & Client Support – 35%
- Manage assigned client cases from intake through completion, ensuring timely delivery.
- Follow up with clients for missing documentation and approvals.
- Maintain accurate case tracking in internal systems.
Document Collection & Filing – 25%
- Gather, review, and organize forms, contracts, and certificates with accuracy.
- Ensure all required legal and accounting documentation is filed and compliant.
- Support data entry and digital filing across multiple platforms.
Client Communication & Coordination – 25%
- Draft professional, concise client emails providing updates and status reports.
- Coordinate with accountants, engineers, and legal staff to move cases forward.
- Act as a liaison between clients and the internal operations team.
Process Improvement & Feedback – 10%
- Identify recurring issues or process bottlenecks and propose improvements.
- Update or create SOPs for case workflows.
- Provide structured feedback to the engineering team on automation opportunities.
Accounting & Bookkeeping Support – 5%
- Support simple bookkeeping, reconciliations, or expense-tracking tasks (training provided).
- Collaborate with the finance team on accounting-related inquiries or discrepancies.
- Ensure accounting-related cases are documented and processed accurately.
Requirements
Must-Have (Required):
- 2–4 years of experience in legal intake, case management, or paralegal support.
- Proven proactivity and ownership mindset — able to execute without constant supervision.
- Strong organizational and multitasking skills, with comfort managing multiple clients and deadlines.
- Excellent written English communication; client communication is primarily via email.
- Familiarity with bookkeeping or accounting-related tasks (even limited professional exposure).
- Proficiency with Google Workspace, Slack, CRM systems, and AI tools (e.g., ChatGPT, Superhuman, Gemini).
- Experience working in fast-paced or startup environments with evolving workflows.
Nice-to-Have (Preferred):
- Experience in LegalTech, SaaS, or professional services environments.
- Background in tax, accounting, or compliance documentation.
- Familiarity with automation tools or case management systems.
- Strong analytical mindset and pattern recognition ability.
- Fluent in English; Spanish or Portuguese proficiency is a plus.
