Job Description:

General Description:

The Manager/Senior Manager, Site Payment Reconciliation & Optimisation is a strategic and operational leader within Clinical Business Operations (CBO), responsible for leading the global scale-up and optimisation of the site payment reconciliation framework across BeOne clinical studies.

This role serves as a key cross-functional partner driving payment transparency, operational efficiency, workflow optimisation, and data-driven reconciliation strategies across global clinical programs. The Manager will lead initiatives to identify reconciliation opportunities, establish scalable operational models, and implement sustainable processes supporting clinical trial execution across regions, countries, studies, and investigator sites.

The role requires strong collaboration across Clinical Business Operations, Clinical Operations and Digital Clinical Operations within the Global Clinical Operations Department, Digital Solutions & Engineering within the Global Statistics & Data Science (GSDS) Department and the payment vendor(s). The Manager will act as a central liaison between business and technical stakeholders to support digitisation, automation, AI-enabled process enhancements, and data integration initiatives for clinical site payments.

The successful candidate must possess a strong understanding of clinical operations, clinical trial payment workflows, data mapping principles, and operational process management. This individual is expected to demonstrate strategic thinking, strong organisational and project management capabilities, intellectual curiosity, change leadership, and the ability to influence cross-functional stakeholders globally.

This role will also contribute to the evolution of the broader site payment operational model through continuous improvement initiatives, workflow redesign, process standardisation, and implementation of innovative operational solutions.

Essential Functions of the Job:

Cross-Functional Leadership & Collaboration

  • Lead the global site payment reconciliation and optimisation strategy across clinical studies and regions.
  • Partner closely with Global Clinical Operations study teams and country teams to support reconciliation activities and operational alignment.
  • Collaborate with Site Payment, Site Contracts, Site Budget, and Data Hub teams within Clinical Business Operations to improve payment workflows and operational efficiency.
  • Establish strong partnerships with Digital Solutions & Engineering and Digital Clinical Operations stakeholders to support system integration, digitisation, automation, and data utilisation initiatives.
  • Serve as the primary business lead and subject matter expert for global site payment reconciliation activities and operational optimisation initiatives.
  • Facilitate cross-functional discussions to identify operational gaps, risks, dependencies, and opportunities for scalable process improvements.
  • Communicate project progress, risks, and strategic recommendations effectively to leadership and key stakeholders.

Strategic Planning & Operational Optimisation

  • Develop and execute a scalable global framework for site payment reconciliation across studies, countries, and investigator sites.
  • Lead identification and prioritisation of target studies, countries, and sites for reconciliation initiatives in partnership with leadership.
  • Evaluate current operational workflows and identify opportunities for optimisation, standardisation, automation, and digitisation.
  • Support development of future-state operational models for site payment management and reconciliation processes.
  • Drive continuous improvement initiatives focused on operational efficiency, payment transparency, compliance, and data integrity.
  • Lead and support change management activities associated with evolving operational processes and technologies.
  • Develop project plans, timelines, governance models, and communication strategies for reconciliation and optimisation initiatives.
  • Monitor project milestones, deliverables, risks, and resource requirements to ensure successful execution.

Data, Systems & Innovation

  • Collaborate with technical and business teams to support data mapping, data quality assessment, reconciliation logic development, and reporting capabilities.
  • Support implementation and enhancement of dashboards, metrics, and reporting tools using platforms such as Databricks, PowerBI, Smartsheet, and other digital solutions.
  • Promote innovative approaches leveraging automation, AI, and digital technologies to improve reconciliation efficiency and operational oversight.
  • Contribute to the development, testing, and enhancement of systems, tools, and operational workflows supporting clinical site payments.
  • Analyse operational and payment data to identify trends, risks, gaps, and opportunities for improvement.

Quality, Compliance & Risk Management

  • Ensure reconciliation processes and operational activities comply with applicable company policies, SOPs, regulatory requirements, and industry standards.
  • Identify operational risks and develop mitigation strategies supporting trial integrity and payment accuracy.
  • Support inspection readiness and audit activities related to site payment processes and reconciliation documentation.
  • Develop and maintain operational standards, process documentation, work instructions, and best practices.
  • Ensure transparency, accountability, and timely issue resolution across stakeholders and vendors involved in site payment activities.

Organizational Leadership & Capability Building

  • Act as a change agent promoting innovation, collaboration, and operational excellence across teams.
  • Provide guidance and subject matter expertise to internal stakeholders on site payment reconciliation processes and operational best practices.
  • Support knowledge sharing, training development, and capability building initiatives across the organisation.
  • Foster a collaborative, solutions-oriented environment focused on continuous learning and process improvement.
  • Influence stakeholders effectively within a global matrix organisation.

Supervisory Responsibilities:

  • May provide project leadership, mentoring, and guidance to team members and cross-functional stakeholders as applicable.
  • Supports capability development and operational best practices within Clinical Business Operations.

Qualification Required:

Computer Skills:

  • Advanced knowledge of Microsoft Office Suite, including Excel, PowerPoint, Word, and Outlook
  • Experience with:
    • Smartsheet
    • SharePoint
    • PowerBI
    • Clinical Trial Management Systems (CTMS)
    • Data visualization and reporting tools
    • Digital workflow and collaboration platforms

Other Qualifications:

  • Fluent in written and verbal English.
  • Strong leadership, communication, analytical, and interpersonal skills.
  • Ability to manage multiple priorities and work effectively under compressed timelines.
  • Experience working within global matrix organisations preferred.
  • Prior experience in clinical operations, site payments, clinical finance operations, or operational transformation strongly preferred.
